Introduction
Our Client, a leader in the Shipping, Logistics, and Freight industry, is seeking to employ an experienced Transport Admin Clerk to join their dynamic team.
Duties & Responsibilities
- Enquire extensions with TPT and the Shipping Lines for extra free days in the Terminal and into Empty Depot.
- Update the WMS (FMS) system all day with updated information as and when received.
- Monitor all containers entering the facility to confirm that empty days are correct and updated.
- Verify all queried days with the shipping lines.
- Alert the Port Team about any changes to the last free days and out-of-the-ordinary shipments – i.e., have fewer days applied before and after upliftment.
- Ensure empty depots are correctly prearranged. Enquire on unknown depots per shipment and keep the system updated accordingly.
- Process administrative functions in the Port Operational Team – including scheduling specific shipments for the container in and out of the facility and monitoring export shipments separately.
- Confirm units are turned in to the correct depots by processing empty POD’s into the system accordingly and double checking the information on the POD’s. Cross-checking POD to FMS.
- Arrange alternate empty depot requirements as and when necessary.
- Call for empty turning POD’s from other haulier service providers.
- Lodge discrepancies and repudiations of claims with shipping lines.
- Investigating damage notifications and demurrage claims as and when received. Provide and pull evidence through photos and documentation and email notifications where applicable.
- Notify lines per email as and when a CIR is endorsed for a container, i.e., TPT or when a damaged unit arrives at our facility and carries through the entire investigation until closure.
- Notify lines per email as and when a container is noted damaged whilst we are unpacking same and ensuring the line is correctly informed of liability positioning and apportioning.
- Monitor and schedule all claims and queries within the department’s Demurrage and Claims tracking schedule and continue the querying until resolution.
- Compile data packs with relevant information for Management sign-off as and when the Team validly incurs claims or demurrages.
- Compile and send through preemptive emails to Transnet and Shipping Lines on potential concerns in the industry for delays possibly arising and the resultant issue maybe becoming demurrages and claims incurred accordingly.
- Assist the Controllers in verifying and locating details from Shipping Lines or agents for unknown units on the Bulk Check listing.
- Filing for Port Truck Department.
Desired Experience & Qualification
- Grade 12 (Twelve).
- A Minimum of 3 (Three) years in the logistics operation – with Transnet and Shipping line involvement.
- Excellent understanding of Excel – understanding spreadsheets and compiling various spreadsheets for the department, including operational monitoring.
- Good understanding of a WMS system.
- Previous local haulier experience that involves a fleet operating in and out of the Durban Harbour.
