Introduction
Our Client, a leader in the FMCG Industry, is seeking to employ an experienced Administrative Assistant to join their dynamic team in Vereeniging.
The purpose of the position is to provide effective office administration and support to the Mill Manager and HOD Team to ensure the smooth running of the office.
Duties & Responsibilities
- Providing administrative support to the Mill Manager and HOD team.
- Ensuring the confidentiality and security of all documents.
- Acting as a front line to the department (greeting and screening of visitors, answering telephone calls, etc.).
- Organising diaries, including the scheduling of meetings, issuing of calendar invites and booking of conference and or meeting rooms.
- Maintaining an efficient and accurate recording of documents and filing system.
- Providing an effective and accurate diary management service.
- Liaising with all customers on a professional manner.
- Liaising with other team members and departments on behalf of the relevant manager.
- Keeping record of information and preparation of documentation as instructed.
- Administration and booking of all travel arrangements and other logistic requirements.
- Preparation of team’s expense and travel claims.
- Responsible for the planning of departmental events and meetings.
- Managing external service providers’ invoicing and ensuring timeous payment.
- Collating, tracking, and maintaining data sheets for the relevant manager.
- Compiling reports (graphs and pivots) as and when required.
- Compile accurate and professional presentations and reports.
- Ensuring all communication goes out timeously.
- Display initiative in the coordination and efficient running of the office.
- Ad hoc requests.
Desired Experience & Qualification
- National Diploma – Administration and Office Support or Business Administration.
- 3-5 Years of administrative experience at senior management level.
- Excellent semantic skills.
- Impeccable computer skills in all Microsoft Packages (Outlook, Word, Excel, and PowerPoint).
- Must be systematic, organized, precise, accurate, neat, and tidy.
- Must be able to solve a range of ad hoc and recurring problems & able to prioritize multiple tasks effectively in a fast-paced environment.
- Must be able to cope well with a team and remain focused during a crisis.
- Must be customer-driven and committed to customer satisfaction.
- Must have foresight and anticipate and prepare well in advance; enjoys setting targets and planning activities.
- Must be a Brand Ambassador and have good organizational skills.
- Must be fluent in English and Afrikaans.
